We are seeking a highly organized and efficient Virtual Assistant to join our team at our company. As a Virtual Assistant, you will play a critical role in providing administrative support, managing customer service tasks, assisting with sales and marketing, and helping streamline operations. This is a remote position requiring someone who is self-motivated, tech-savvy, and comfortable with multitasking in a fast-paced environment.
Key Responsibilities:
Customer Support: Respond to customer inquiries via email, phone, and chat, ensuring timely and professional communication. Assist customers with product information, troubleshooting, order status, and returns or warranty claims. Schedule service appointments and follow up on service requests or repairs.
Administrative Support: Manage the company's email inbox and respond to inquiries or direct them to the appropriate team members. Prepare, send, and track invoices, purchase orders, and service-related documents. Organize and maintain digital files, ensuring records are up-to-date and easily accessible.
Order Processing and Sales Support: Assist in processing customer orders, tracking shipments, and ensuring timely delivery of products. Help manage and update customer databases and sales leads. Provide administrative support to the sales team, including preparing quotes, follow-ups, and CRM updates.
Inventory Management: Monitor inventory levels and assist in maintaining accurate stock records. Coordinate with suppliers to ensure timely procurement of products and supplies. Prepare and manage inventory reports and restocking schedules.
Data Entry and Reporting: Input data into various systems, including customer orders, inventory records, and sales data. Generate regular reports on sales performance, customer feedback, and operational metrics. Assist with market research and competitor analysis as needed.
