I am looking for an experienced and diligent partner to help with our book keeping processes. This is an ongoing project and I am looking for someone to work with long term. The weekly processes will be -
1) Booking invoices on to Xero (our invoices are generated by a third party system) we will produce these and then email them. The data needs to be transposed/uploaded onto Xero, ideally with the invoice attached Xero (pdf) We produce invoices on a weekly, monthly basis.
2) We may ask the freelancer to email these invoices to our customers also, we will provide access to our O365 mailbox.
3) Reconciliation - perform a weekly reconcilation of Xero, allocating all customer funds to the correct invoices. The freelancer may need to visit the above mentioned mailbox to view remittance advices from customers
4) Queries - any issues/part payments may need to be discussed with our customers via email
6) A fortnightly catch up with me, probably half hour / hour call to discuss any issues (although I will always be on hand if any issues arrise)
7) Maintain customer data in Xero - updating static customer data, opening new customers on Xero
8) Answering customer invoice queries - 2/3 per week on average
We are a small business, i would assume there is around 4-5 hours work per week here. It may be less depending on the freelancer and their experience level. The majority of the work does not need to be done within business hours (can be done weekends/evenings)
I will be able to do a full induction/training and there may be scope for further work if we find the right person.
