The position assists the Director of Sales & Marketing in achieving profitability, employee satisfaction, and the financial performance of the Sales & Marketing department. Reports directly to the Director of Sales & Marketing.
DUTIES AND RESPONSIBILITIES
• Responsible for the complete follow-up and coordination of all group bookings, booked through the Sales Office.
• Obtains signed contracts, deposits, rooming lists, guest requests and guaranteed commitments for attendees prior to the commencement of each event.
• Notifies pertinent departments of group arrivals or functions including, but not limited to restaurant, front desk staff and sales staff.
• Maintains a pleasant and professional relationship with the clients and assists with any requests they may have with the services offered such as changes in rooming lists, guarantee counts, schedules, arrival times, rental equipment needed, etc.
• Conducts tours of all properties of the Santa Barbara Hotel Group to prospective customers.
• Produce reports as prescribed by management.
• Attend and record minutes of monthly Sales & Marketing meetings.
• Monitor guest satisfaction, through follow-up thank you cards and calls to ensure future bookings.
• General office duties including typing, filing, mailing, scanning, photocopying, responding to telephone calls, e-mail requests, and ordering office supplies.
• Maintain knowledge of the competition, the market and market positioning.
• Maximization of profits as they pertain to booking of business.
• Participation in the development of a marketing plan.
• Maintains complete knowledge of all products and services of all hotels.
• Maintain a professional appearance and conduct at all times.
• Other duties as prescribed by management.
REQUIRED SKILLS & EXPERIENCE
• Ability to use standard software applications and hotel systems (Microsoft Office, Microsoft Outlook, PowerPoint, etc.) Opera and Windsurfer Property Management System experience preferred but not required.
• Must be extremely detail oriented, have strong organization and time management skills; demonstrated ability to manage multiple projects successfully with minimum supervision.
• Superior telephone sales and in person guest relations skills.
• Conduct in person sales calls as well as telemarketing calls to existing and prospective clients.
• Work collaboratively with hotel service team in providing exceptional customer service.
• Ability to develop and maintain effective relationships with both internal and external stakeholders.
• Maintains strong customer development and relationship management skills.
• Strong communication skills (verbal, listing, and writing).
• Knowledgeable of overall hotel operations as they affect department.
• Ability to translate business needs into what needs to get done, ensuring that all work is conducted effectively.
REQUIREMENTS
• A minimum of 2 years of hotel sales and/or front desk, event, or related experience preferred.
