The Wave Project is a charity that works with vulnerable young people through surf therapy across the UK.
We created an app specifically for our volunteers. The app enables our coordinators (employees) to manage their upcoming sessions and see which volunteers have signed up to help at these sessions.
With the app coordinators can currently:
• Create surf therapy (beach) sessions • Add young people to these sessions • See participants of the sessions (volunteers and young people) • Register young people and volunteers to the sessions
Volunteers also are provided with separate log in details where they are able to sign up to volunteer at the sessions in their area.
After running initial testing over the last few months we have highlighted a few bugs and amends which need addressing to ensure that the app is as user friendly as possible ahead of its relaunch.
Listed below are the bugs/amends that need to be resolved:
Bugs
1. We currently cannot mark the attendance of young people or volunteers after the session because sessions auto archive themselves the second the start time is in the past.
2. When attempting to add groups of young people the app's navigation bar can get in the way of scrolling.
Amends -
1. Give volunteers the option to sign up to a whole surf therapy course (6 sessions) as opposed to having to individually scroll through all the sessions and add themselves to volunteer one at a time.
2. Currently coordinators are not able to add volunteers independently (in the same way coordinators can add young people to sessions). This prevents coordinators from being able to add volunteers to sessions who have reported their intention to attend via different sources (e.g. text, Whatsapp, Doodle-poll etc) – so if you set the number of 'volunteers needed' to 10 you could have a situation where 3 people let you know they’re coming outside of the app, but 10 also sign up through the app. You then have too many volunteers.
3. Currently you have to add all young people at the start of a six week block of beach sessions to each beach session, which is 6 individual entries for each child. This is frustrating if one young person drops out, as it means you have to delete them from each beach session, then re-add a new young person to each beach session. Can young people be block added to courses.
4. Volunteer users cannot manually change what regions they are seeing (e.g if a volunteer wanted to see sessions in south west but were registered for the north, they can't change it themselves at the moment)
5. Adding the ability to add risk assessment information from our Capsule CRM database to the child’s profile for coordinators to see.
The aim is to get these bugs and amends resolved in time for our spring sessions, with the possibility of further work in the future.
